M-Pesa bookkeeping for Kenyan small businesses
If most of your customers pay by M-Pesa, your phone already holds your sales record. The challenge is turning those messages into books you can trust.
1. Record every payment the same day
Each M-Pesa confirmation message has an amount, the sender, a transaction code and a time. Write down the amount, what it was for and the payment method (M-Pesa, cash, bank or card). Entering them daily keeps the list short and the details fresh.
2. Keep money in and money out separate
Record sales as money in and costs such as stock, rent, transport and staff as money out. Keep personal withdrawals as their own category so they do not hide inside business expenses.
3. Do not edit old entries, reverse them
When you make a mistake, add a correcting entry instead of changing the original. That keeps a clear trail of what happened, which matters when you work with a partner, a staff member or an accountant.
4. Match payments to customers who owe you
If a customer pays part of what they owe by M-Pesa, record it against their balance so the remaining debt is always correct.
5. Check your cash at close
At the end of the day, compare what the books say you should have with what is in the till and in your M-Pesa balance. Any difference is easier to explain the same day than a week later.
How Keptwise helps. The Keptwise Android app reads incoming M-Pesa and bank payment messages on your phone and queues them for review. You confirm or ignore each one, and only confirmed payments reach your books, so nothing is added without a person approving it. Entries save on your phone first and sync when you are online. The Starter plan is free.
